Privacy policy

Who this applies to

Cohezion Timesheets is operated by Cohezion. It is used by Cohezion staff and contractors to record hours, and by Cohezion and client contacts to approve them. Only people a Cohezion administrator has added can sign in.

What we collect

• Your name and email address, entered by a Cohezion administrator.
• The hours you record: the date, client, project, number of hours and any notes you add.
• Approval records: who submitted, approved or rejected a timesheet, when, and any reason given.
• If you set a password, a one-way hash of it. We never store the password itself.

If you sign in with Google or Microsoft, we receive your name and email address from them to confirm who you are. We do not receive your password, and we do not access your mail, calendar, contacts or files.

How we use it

• To sign you in and show you your own timesheets.
• To send timesheets to the right person for approval.
• To report on and export approved hours for invoicing and record keeping.
• To email you about your account and timesheets, such as an invitation, a password reset link, or notice that a timesheet was submitted, approved or rejected.

We do not sell your information or use it for advertising.

Who can see it

You can see your own timesheets. Your approver can see the timesheets you submit to them. Cohezion administrators can see all people, projects and timesheets.

Where it is kept

Timesheet data is stored in Microsoft Dataverse in Australia. The application is hosted by Vercel, and emails are sent through Twilio. These providers process information on our behalf, and some of that processing may take place outside Australia.

The app uses a single cookie to keep you signed in. It does not use analytics or advertising cookies.

How long we keep it

We keep timesheet and approval records for as long as they are needed for invoicing and business record keeping. When you no longer need access, an administrator deactivates your account so you can no longer sign in.

You can ask for a copy of the information we hold about you, ask us to correct it, or raise a concern about how it has been handled, by emailing admin@cohezion.com.au.
